New SOTA Reflector

Hi everyone,

As many of you will no doubt be aware, we have been considering for some time the possibility of moving the SOTA reflector to a different software platform. In this post I want explain the drivers behind this and our plans for making the transition.

When the existing facility was put in place, SOTA was tiny compared to the widespread international movement it has now become. I am personally surprised that software cobbled together one Christmas is still serving its purpose nearly a decade later. However, it is definitely fraying at the edges and gaps between its current front end and administrative functionality and that which we would ideally like to see for managing a large international online forum are becoming increasingly felt.

One of the reasons for building the software in the first place was because the forum software available at the time was, in my view, not very useable; a state of affairs that has persisted until quite recently. Many people have commented on how they have appreciated the clean and simple operation of the SOTAwatch reflector.

However, over the last couple of years I have been keeping eye on a new piece of software called Discourse. And about 6 month ago the MT agreed to give it a test drive. Since then, and after extensive use, the MT has unanimously come the conclusion that we should now transfer the main SOTAwatch reflector over to Discourse.

Now, I can tell you, many (in fact most!) members of the MT were highly suspicious of the new-fangled platform and had many misgivings initially about how things worked. But all have now got used to it and there is a full commitment behind its continued use.

But this does make us, the MT, realise that the SOTA community at large is not necessarily going to find the transition easy. And in fact we may not find the transition technically easy either. So, this is a plea for cooperation!

I do predict that:

  • We may have some glitches in the transfer that will be irritating and possibly disruptive. (However, we will obviously do our best to avoid these!)
  • There may be some difficulties in getting some existing users fully signed up and properly configured on the new system. This is likely to be personally frustrating for some users. (Again, maybe it will be supersmooth!)
  • Quite a few of you will inevitably dislike being torn away from a system you have become very familiar with. And some, no doubt, will complain bitterly!
  • Many may feel an aversion to the new system. It is different. It may take a while for some to get used to it.

However, we will be seeking to retain the entire reflector history (which will be searchable) and we will be seeking to automatically subscribe current SOTAwatch users to the new forum.

We will also be available to help anyone struggling and will be writing up FAQs associated with the use of the new facility.

We intend to do transfer at some point over the next few weeks as we find time amidst work commitments, etc. We will do a trial run first and then when we are ready, a final import and switch over. SOTAwatch will then contain a list of topics for the new reflector in much the same way it does now, so that aspect will remain lsrgely unchanged.

So apologies in advance for an enforced change. No-one really likes this and we do understand that. But we are convinced that it is an essential upgrade that will ensure the sustainability of the refector in the future.

Personally, I am all for this. As a user of several more modern style forums, the usability of these is better than SOTA’s current reflector (especially for searching old trip reports and the like).

Having said this, I think the MT and moderators of the reflector, should be commended on their work so far in keeping the current reflector working and relevant.

Without having seen the new layout, I am hoping for a category or niche where we can have some slightly off topic discussions without having to sneak in soup reviews or music reports into normal postings :slight_smile:

Hopefully the transition will go well and I’m looking forward to seeing the new design.

A very sensible idea, there is no point wasting resources on something when a better alternative is available.

Can I say at this point that I’ve found the current reflector pretty robust and problem free and definitely much better than the dreaded Yahoo or Google groups, both in reliability and usability.

If you need some beta testers for the new system then I’d be happy to help.

I’ve have a quick play with discourse, I think you’ve chosen very well, it’s not going to appear a huge leap from the current system for most users.

I’m not a regular contributor to the reflector but an avid reader, the mobile view of discourse is a great bonus for me. (maybe I the new look will encourage me to say more)

Discourse is a great commenting system. I think the MT made a good choice. I too like the simplicity of the current setup. But it does make sense to move to a more robust and commonly used platform.

Hi Jon,
Will the new relector / Forum system require less maintenance effort from the MT (i.e. yourself), if so I am right behind it, If however it will create you more work, IMHO you should think twice about implementing it.

The current system from a users point of view (IMHO) is a clean, simple, easy system to use. From what you have writen, I get the feeling that the new system may not be as simple, albeit with new features such as search.

I believe the decision has already been made, so I wish you a smooth and easy transition.

Rather than having the complexity of trying to migrate users from the old to the new system, I would recommend that you make this a user task. In so doing you will drop the no longer used userids - a sort of housekeeping if you like.

The plus points of the existing system were acknowledged and discussed in depth within the MT Ed. We appreciate the popularity of the “clean, simple, easy system” you describe, hence why we ask for patience in introducing and customising the new system.

I am a big fan of the existing SOTAwatch system, but accept that it is rather “old” and has significant limitations, not least that it cannot handle photos/images. What we end up with should be a big improvement on what we have for all concerned - users and managers.

The danger of swapping the migration for a user task is that a huge number of SOTAwatch users would be lost, and a significant number may never return. The simplest approach, and indeed the best service we can provide, is to migrate all currently valid SOTAwatch users.

Right, we plan to effect the transfer to Discourse at the end of this week.

The plan is to transfer all the existing reflector content into the new forum facility which makes it a bit more complicated than simply starting using a new system. Since all posts need to belong to a user, we also need to transfer in all users who have previously posted to the reflector. This means that reflector users will need to latch onto an already created user via a forgottwn password facility, rather than creating a new account. I’ll explain this more nearer the time.

The transfer is planned to happen on Friday. I will post to the old Reflector (here) once I have effected an export of content. After this time, any posts posted here will not make it to the new facility. I will continue to allow posts here in order to provide help in the transition. And also we can always abort the attempt if things don’t go well. I, as many of my MT colleagues, will be assisting whilst holding down day jobs as well. So if we hit snags that aren’t easy to overcome, we may abort and postpone.

There will be a period of a few hours to a day whist the import is executed before we will be able to welcome users onto the new forum. Instructions will be posted here.

We have done a trial run so hopefully it will go smoothly.

SOTAwatch will continue to operate as normal during the transition.

Good luck and I hope everything goes smoothly. All should understand how complex such a conversion is respect that Murphy is ALWAYS lurking in the wings, so that if anything is to go wrong, it will happen at the time to create the most problems.

Hopefully Murphy is on holiday on Friday. (apologies to anyone here who is called Murphy you are not meant - but I’m sure you’re used to such comments).

Once again, all the best with this action, I for one will have my “fingers crossed” that everything works with the minimum of surprises.

Hopefully the only surprise will be that there were absolutely no problems.

Personally I don’t believe in luck - for me what happens, happens! However I am sure that all the hard work put in by the team will bear fruit with a smooth transfer. I certainly agree with the application of a good malt though to launch the new system. I’ll try to remember to raise a glass of Laphraoig on Friday. :wink:

I’ve been through enough system translations to know that, while there’s no substitute for good planning and careful forethought, sometimes random unpredictable happenings can help or hinder…

Soon this morning I will perform the export of posts. This means that any new posts (new topics or replies) submitted after this point will not make it over to the new forum. So, there will likely be a bit of a discontinuity in some topics if folk still continue discussions here. Of course, if you do post after the export, then you might want to re-post on the new forum when you get access to it.

I am expecting that the new forum will be ready within 24 hours. We’ll see how we get on. I’ll post updates here.

Although effectively deprecated, I will leave the current reflector alive for a little while (a day or three probably, possibly a bit longer). After that, the SOTAwatch page will start to display a list of topics from the new Reflector. At this point the current Reflector will no longer be accessible.

Yes, all spots and alerts will continue as normal during and after the transition. Only the Reflector will be affected.
